Pleo is a business expense solution tool that has a SuiteApp for NetSuite! Pleo centralizes business spending for complete financial efficiency and control. 💸

In short, any user within your organization can download the app, get a virtual credit card and use it for business expenses. Receipts can be uploaded in the app and within the platform it automatically created a accounting proposal and, after approval, export it to NetSuite to create a journal entry including link to the original receipt.

In this way Pleo enables you to synchronize your expenses which speeds up the reconciliation and month-end processes. 

Setting up the integration

The setup of this integration is quite straightforward. First of all, you need to install the SuiteApp in NetSuite. Once you have the SuiteApp installed, you can connect your subsidiaries to the relevant Pleo accounts.

 Before you start the configuration in NetSuite, make sure to be aligned with your Finance department on the crucial process decisions. For example, how you want VAT to be handled, the schedule of retrieving the expenses from Pleo, and if you want to add the receipts to NetSuite.

 After the setup in NetSuite, you need to align your mapping in Pleo with the internal IDs from NetSuite. You can do this for tax codes, categories, and tags. The tag is a nice feature as this gives you some option for customization. Tags can be created in Pleo and mapped to departments, locations, or classes in NetSuite. This functionality improves the control and visibility of your expenses. 🙌

 Potential pitfalls

Although we were early adopters of this integration and have seen the integration improving along the way, it is still not flawless. When retrieving multiple documents at the same time, all receipts are added to all journals in the batch. This makes it difficult for you as a Financial to check if the expenses are posted correctly. 

The second downside, is that you can't map your vendors to the expense in Pleo. That way, it’s not integrated to NetSuite and you might miss some essential vendor expense information.

 Conclusion

After diving into the details and considering all pro’s and con’s, I can say: this is a winner. Its user-friendly interface and accessibility make it a practical choice for any organization looking for a spend management solution that links with Netsuite. By automating entry creation and seamlessly connecting credit card expenses with your Netsuite environment, it's a solution that genuinely streamlines processes and saves time. 💥
